The per-seat trap, worked out
This is where the real money is. Take a firm with three advisers and two support staff. On Claras Unlimited that is 3 x A$139 plus 2 x A$39, or A$495 a month, before anyone opens the app. On Sombra Team that is a flat A$179 a month for the first three users. Per-seat pricing looks cheap on the pricing page and costs the most once a team grows. Do the multiplication for your own headcount before you sign.
At the entry level the comparison runs the other way but still favours the flat model on volume: Sombra’s A$49 Starter includes 20 notes; Claras’s A$50 Pay As You Go includes 4 (then A$10 per note). A single adviser doing a dozen meetings a month is well ahead on a flat 20-note plan than on a 4-note plan with overage.
How to work out your real cost
Multiply your meetings per month by the per-note price (for pay-as-you-go tools), and compare that to the flat unlimited price. Past roughly 8 to 15 notes a month, flat usually wins. Then multiply the per-seat unlimited price by your actual number of advisers and support staff, and compare that to a flat team plan. Finally, ask whether the price includes the work after the note, or just the note.
What “cheap” can hide
- Per-seat creep. A tidy per-adviser number plus a per-assistant number overtakes a flat team plan quickly. It is the single biggest hidden cost in this category.
- Note caps and overage. “From A$50” often means a handful of notes, with per-note charges after that.
- Just the note. If the tool files the note and stops, the work after it, keeping the client record current, chasing context, tracked follow-through, is still on you and your team’s time. A connected workflow that carries the note forward, and a team that implements it into how you actually run, is the difference between a cheap tool and a cheap outcome.
